Getting started

From signing up to your first quotation, in a few minutes.

1. Sign up at the pricing page — pick a plan and enter your business details. No card, no UPI mandate, nothing charged.
2. 14-day free trial starts right away, on whichever plan you chose, with full access to everything on it.
3. Fill in your business details under Settings → Business — GSTIN, address, and bank details. These print on every quotation and invoice, so it's worth doing this first.
4. Add a few catalogue items (or skip this — you can also type one-off items directly into a quotation).
5. Create your first quotation from the Quotations tab, and you're live.

Dashboard

Your business at a glance when you first log in.

Shows recent quotations and invoices, your outstanding receivables total, and quick links into whatever you touched last. It's a starting point, not a separate feature to learn — everything on it links straight to the real page.

Quotations

The core of QuotePro — build a quote, QuotePro works out the GST.

Creating one

1. Quotations → + New Quote.
2. Enter the customer's name — GSTIN, phone, and address are optional but recommended; the GSTIN determines whether GST splits as CGST+SGST (same state) or IGST (different state) automatically.
3. Search your catalogue to add items, or type a name and press Enter to add a one-off item that isn't in your catalogue.
4. Adjust quantity, rate, and GST rate per line if needed — totals recalculate live.
5. Add a discount (percentage or flat amount) and freight/other charges if relevant.
6. Save as draft, or "Save & mark as sent."

Freight & GST — worth understanding

Freight is taxed at your highest item's GST rate automatically — this follows the "composite supply" GST rule, where a delivery charge bundled with goods takes on the goods' own tax rate rather than a flat rate. If a specific freight charge genuinely needs a different rate (for example, a standalone transport charge billed separately), there's a rate dropdown next to the Freight field to override it manually — leave it on Auto unless you specifically need to.

On mobile

Each item shows as its own card with Qty, Rate, Taxable Amount, HSN, GST, GST Amount, and Total clearly labeled — no need to scroll a cramped table sideways.

Sending it

Converting to an invoice

Once a customer accepts, open the quotation and convert it to an invoice — GST invoicing needs to be on your plan for this step (see Plans).

Invoices

Created by converting an accepted quotation — GST-compliant, numbered, and locked once issued.

Once an invoice is issued, its contents can't be edited — this is deliberate, matching how a real GST invoice has to work. If something's wrong, cancel it (before any payment is recorded) or raise a credit note (after).

• Payment tracking — record full or partial payments against an invoice; outstanding balance updates automatically.
• WhatsApp / PDF / Excel — same sharing options as quotations.
• Cancel — only available before any payment or credit note exists against it.

Credit notes

For returns, corrections, or reducing what's owed on an issued invoice.

Open the invoice and choose to raise a credit note against it — you can credit specific line items or specific amounts, not just the whole invoice. QuotePro won't let you over-credit past what the invoice is actually worth, and a credit note reduces the invoice's outstanding balance the moment it's issued.

Payment tracking

Know what's actually been paid, and what's still owed.

Record payments directly against an invoice — cash, bank transfer, UPI, however it actually arrived. An invoice's status moves through your GST reports and the Outstanding report automatically as payments come in, including being adjusted correctly if a credit note is later issued against the same invoice.

Catalogue

Your standard items, priced and ready to drop into any quotation.

• Add items one at a time, or import a CSV — QuotePro recognises common column headers automatically (Particulars, Unit Rate, UOM, and similar variations), so it usually doesn't need reformatting first.
• Quick Rate Update: export your catalogue, update prices in Excel, re-import — matches by item, so only rates need touching.
• Mark an item unavailable rather than deleting it, if it's temporarily out of stock — quotations flag it clearly instead of silently pricing something you can't supply.

BOQ import

Turn a customer's Bill of Quantities into a quotation, automatically matched against your catalogue.

1. Upload the BOQ file (BOQ tab).
2. QuotePro matches each line against your catalogue by name and size — a confidence score shows how sure it is.
3. Review and fix any unmatched or uncertain lines by hand.
4. Hand off straight into a new quotation, fully priced.

Manually correcting a match teaches QuotePro that pairing for next time, so BOQ imports get more accurate the more you use them.

Customers

Every customer you've quoted or invoiced, with their history in one place.

Search, edit details, or jump straight into creating a new quotation for an existing customer without re-typing their details.

Reports

Five reports, each answering a specific question.

Every report exports to Excel from the same page.

Alerts

A heads-up when you're quoting something you're low on.

Purchase alerts flag catalogue items worth restocking based on how they're being quoted — a quiet nudge, not something that blocks you from quoting the item anyway.

Team & roles

Invite people, with the right level of access.

• Owner — full access, the only role that can cancel the subscription.
• Admin — full day-to-day access, can't touch billing.
• Staff — day-to-day quoting/invoicing access, no settings or team management.

Settings

Business

Your business name, GSTIN, address, and bank details — these print directly on every quotation and invoice. Worth filling in properly before your first real document goes out.

Subscription

Your current plan, next billing date, payment method, and usage against your plan's limits. See Subscription & billing below for what you can and can't change here.

Offline & sync

A dropped connection doesn't have to mean lost work.

If you're creating a new quotation and your connection drops, QuotePro saves it on your device instead of losing it, and syncs automatically the moment you're back online — shown clearly in the list as "pending sync" until it does. A small indicator near the top of the app shows your sync status at a glance.

This covers new quotations created while offline — not every action in the app works without a connection.

Subscription & billing

During your trial

Full access to everything on your chosen plan, for 14 days. No payment details are collected at signup, so nothing is charged and there's nothing to cancel.

When the trial ends

Your account switches to read-only. You can still sign in, view everything, and export your data — you just can't create new quotations or invoices until you subscribe.

Nothing is deleted. Every quotation, customer and catalogue item you built during the trial stays exactly where it is, and comes back the moment you subscribe — whether that's the next day or two months later. Subscribe from Settings → Subscription whenever you're ready.

Once you're on a paid plan

• Upgrading takes effect immediately, charged pro-rata for the rest of your current billing period.
• Downgrading takes effect at your next billing date — you keep what you're paying for until then.
• Cancelling stops future billing; you keep access until the end of the period you've already paid for.

Can I switch plans later?

Yes, any time after your trial ends — see Subscription & billing above for how upgrades and downgrades work.

What happens to my data if I cancel?

Nothing is deleted immediately — you keep read access to everything for 90 days after cancellation, in case you come back. Full detail in the Privacy Policy.

Is my customers' data shared with anyone?

No — never sold, and only shared with the handful of services that run QuotePro itself (payment processing, email, hosting). See the Privacy Policy for the full list.

Can I use QuotePro on my phone?

Yes — it's built mobile-first, including the offline-safe quotation creation described above.

I run a steel/hardware/manufacturing business — is this actually built for me?

Yes — QuotePro grew directly out of a real deployment for a steel trading business, not a generic invoicing template. GST handling (including the freight composite-supply rule most tools get wrong), BOQ import, and catalogue-driven quoting all reflect that.
